Review the references.
Keep the result.
Match one client's CSV against its existing jobs, inspect the proposed PO references, then approve the exact reviewed list.
Private pilot. The app is not available for purchase. Live updates are currently disabled after the controlled acceptance test; preview and saved-result checks remain available to enabled test users.
Start from one verified client
Open the intended client in ServiceM8 and choose RefMatch from the client actions. Check the displayed client name before selecting any CSV.
The app matches exact job references within this client. Leading zeroes and letter case matter. Similar names or references are not used to guess a match.
Preview mode · writes disabled means updates are unavailable for the account. You can inspect a preview and check a saved receipt. Contact app support about approved pilot access.
Prepare two text columns
Use these exact case-sensitive headers, in this order:
job_ref,purchase_order_number
001042,0000123456These are invented example values. Replace them with your authorized records.
- Export as UTF-8 CSV; a leading UTF-8 BOM is accepted.
- Use at most 200 data rows and 256 KiB.
- Keep both fields as text in your spreadsheet so leading zeroes survive export.
- Use one nonblank PO reference per exact job reference. PO references have a 100-character limit.
- Do not include extra columns, blank rows, repeated job references or control characters.
Choose the file or paste its contents, then select Review against this client.
Understand the review before approving
| Result | What it means |
|---|---|
| Ready to fill | An eligible matching job had an empty PO when reviewed. |
| Already matches | The exact requested reference was already present. |
| Blocked / conflict | A missing, duplicate, ineligible or conflicting record needs attention before a new review. |
| Confirmed | A fresh check observed the requested PO. The receipt records that observation; later changes can still occur in ServiceM8. |
Existing different references are preserved by the app's checks. Eligible jobs must be active and in Work Order or Completed status. Missing jobs are not created.
Resolve blocked rows against the actual source. Avoid editing PO fields concurrently: a job can change between a fresh check and the update.
Approve the exact reviewed list
- When updates are enabled and the review is ready, choose Approve and process batch.
- Keep the window open while progress is saved. The approval applies to this exact CSV, client and approving staff member.
- Use Pause after current step to stop future steps. An in-flight step can still finish; pause does not undo earlier results.
- Check the final row outcomes and select Download review receipt.
Closing the window stops future steps. If a later row conflicts or a result becomes uncertain, earlier confirmed rows remain recorded. There is no automatic rollback of the batch.
A controlled one-row review, approval, provider read/PO-only update/read and saved-result recovery passed through the actual native desktop interface. The update changed only the PO and its edit timestamp. Broader batch/recovery/device acceptance remains part of the private pilot.
Check the original result before another attempt
Keep the original review ID when the response is interrupted or a result is uncertain. Choose Check saved results or Recover an earlier review before approving again.
- Open the same client under the original account and approving staff identity.
- Inspect the saved rows and any uncertainty.
- Choose Resume approved batch only when the saved result permits it. This keeps the original approval.
- For an expired review, prepare a fresh review for unresolved work. Contact support first if the old review still has an uncertain outcome.
Recovery reads the stored result; it does not update ServiceM8. A saved Confirmed receipt can still be checked while live updates are disabled. Editing the CSV invalidates the current preview and does not change what an earlier approval covered.
Resolve a problem without guessing
- Job not found or duplicate reference
Check the selected client, exact reference and preserved leading zeroes. Resolve duplicate CSV or source references.
- Existing PO preserved
Inspect the existing reference in ServiceM8 through your normal approval process.
- Source changed
Reload and review the current records as directed before requesting another update.
- Result uncertain
Retain the same review ID and check saved results. Avoid a replacement approval until the live outcome is understood.
- Source collection too large
The app refuses an incomplete or oversized collection. Contact app support to discuss an appropriate workflow.
